Getting Started

  1. After the activation of your account, you can start customizing your Tascu to your specific needs!
  2. Login to administration panel by using the link and credentials received by e-mail.
  3. Please change your password (on the Workers tab, scroll down and click Edit button, then click Update).
  4. Continue adding accounts and initial passwords for your workers (on the Workers tab).
  5. In the Coefficients tab, please adjust the coefficients according to your needs.
  6. In the Settings tab, please adjust the settings according to your needs.
  7. Add the projects/tasks.
  8. Workers can start logging their workhours/tasks for the project, by selecting the project from the dropdown.

Detailed Instructions

Projects

In this section projects/tasks can be created/listed/edited.

To assign project/task only for specific worker (other workers cannot add workhours for this project/task), pick the worker name (or names) from the list. To select multiple, use ctrl key.
To deselect workers, use ctrl key and click on their names and press on the “Update” button below the list.
Assessment switch will be applying assesment to the project/task – it means that if this project/task closed, worker cumulative coefficient will be automatically adjusted, based on the defined coefficient settings in the Coefficients tab.

If you need to edit some of the project settings, click on the Edit button, then you can edit most of the project settings.

To delete project, click the delete button. Important! You cannot delete project, if there are workhours! To delete project, you must first remove all the added workhours! This is safety feature to not delete project accidentally.

To change project status, pick new status from the Project Status dropdown and click “Save” button.

To view more detailed report for the project, click on the project name to open the report in the new tab.

Project Number – Freely chosen identification number for project/task.

Project Name – Freely chosen name for project/task.

Estimated Cost – Estimated budget for the project/task.

Additional Cost – If there will be some additional cost in addition to Estimated Cost, add this here.

Final Cost – Automatically Calculated (Estimated Cost + Additional Cost).

Estimated Workhours – Estimated workhours to complete the project/task.

Hourly Cost – Automatically Calculated (Final Cost is divided by Estimated Workhours).

Planned Start – For defining Project Start date.

Planned End – For defining Project End date (deadline).

Workers

Section for editing workers (adding, disabling, removing, editing salary, editing coefficients, changing passwords etc).

Name – Worker full name.

Username – Worker username.

Password – Password for worker login.

Role – For defining worker’s role (two roles available: worker and admin).

Salary Per Hour – Initial salary per hour.

Coefficient – Initial worker’s coefficient, defaults to 1.0.

Cumulative Coefficient – Automatically adjusting coefficient, based on assesment tasks, defaults to 1.0.

Workhours

Section for viewing and modifying workhour entries by an admin.
All workhour entries will be in the “Registered” state once they will be added.
For calculations and reports, those entries should be confirmed first by an admin.
You can confirm every workhour entry, by chaging its state on the workhours list.
States of every workhour can also bulk modified (all at once), by selecting one or many, and using bulk editing feature on the table header.
You cannot edit workhour entries, if modifications needed, the incorrect entry should be removed and added correctly.

Project – Projects/Tasks list (dropdown), used to select a project/task for adding workhours for the worker.

Worker – Workers list (dropdown), used to select worker for who the workhours will be added.

Start Date/Time – Start Date/Time of workhour.

End DateTime – End Date/Time of workhour.

Hours Worked – Calculates total worked time.

Salary at Time – If available, fetches salary for calculations (automatic).

Salary Earned – If available, calculates salary (automatic).

Work Type – If project/task consists of multiple different works, then the work type can be entered here.

Comment – If needed, additional comment can be entered about the added workhours.

Coefficients

Section for editing coefficient settings.

Default Value – Initial Coefficient (Defaults to 1.0).

Min Value – Minimal value of the Coefficient (coefficient cannot drop below this value).

Max Value – Maximum value of the Coefficient (coefficient cannot rise above this value).

Auto Step Up – Coefficient can step up by this step, e.g if coefficient is 1.0 and Auto Step Up is set to 0.01 then increase will result 1.01.

Auto Step Down – Coefficient can step down by this step, e.g if coefficient is 1.0 and Auto Step Down is set to 0.01 then decrease will result 0.99.

Works Count For Average – Count of assessment tasks/projects used for calculating average cumulative coefficient. This should be used to ensure coefficient smooth increase or decrease. If it set to 1, then the recent 1 project will be used to calculate and set the cumulative coefficient, if set to 5, then 5 recent assessment tasks will be used to calculate worker’s average cumulative coefficient. It is like safeguard to prevent coefficients jump up or down too drastically.

Rules

Section for adding or removing rules for salary calculation. Rules are for automatic salary adjustment, if conditions match.

For example, you can define rule, which applies every day, for all workers, from 22:00 to 06:00 – multiply salary by 1.25.
E.g if worker base salary is 8€/h, then between 22:00 to 06:00 it will be 10€/h (8 x 1,25 = 10€).
In this case, if worker working 8h with base salary on some other hours, the salary would be 8 x 8 = 64€,
but on the defined timeframe, it would be 8 x 10 = 80€.

Rules can be also contain specific date.
If date and time are both defined, then rule applies only if the time range matches. To make recurring rule (for every day), date should not be defined.

Another example, you can define a rule, which applies for specific day (holiday), and multiplies salary by 2, e.g salary in a hour will be doubled.

If you need, you can use also define other operations in addition to the multiplications, e.g add/subtract/divide:

Multiply (multiplies hourly base salary with value), Divide (divides hourly base salary with value), Add (adds value to hourly base salary), Subtract (subtracs value from hourly base salary).

You can also pick workers from the list, for whom the rules will be applied. If nobody, then rules will be applied to all workers.

IMPORTANT NOTE: Rules will be used only for ordinary work hours, e.g rules are ignored for project/task based works.

Start Date – If defined, then rule will be affecting salary starting from this date.

Start Time – If defined, then rule will be affecting salary starting from this time.

End Date – If defined, then rule will be affecting salary till this date.

End Time – If defined, then rule will be affecting salary till this time.

OperationMultiply (multiplies hourly salary with value), Divide (divides hourly salary with value), Add (adds value to hourly salary), Subtract (subtracs value from hourly salary).

Value – Numerical value, used by Operation.

Description – Short description about the rule. For example: “Night Shift”.

Workers – Workers list for who the rule will be applied. If not defined, then rule will be applied to all workers.

Save Rule – Saves and activates the rule.
IMPORTANT! Rules are affecting the hourly salary on upcoming workhour entries!

Settings

Customizable settings

Currency – Currency symbol can be set here. Example: “€” or “EUR” or “$” or “USD”.

Timezone – Timezone is important to define, to ensure correct dates/times displayed and used in calculations.

Light Theme – Switches from default dark theme to light theme, for bright working environments.

Enable the reallocation of leftover task budget – Reallocates salary from low performers (cumulative coefficient < 1.0) to high performers (cumulative coefficient > 1.0).
IMPORTANT! This setting will not automatically recalculate salaries for already completed/closed tasks/projects – it means that this calculation logic will be applied to upcoming projects/tasks if enabled!

For the assesment task, use automatic step-up/down values – Instead of calculating coefficients, assesments will increase or decrease cumulative coefficients by pre-defined steps.

Show worker performance gauge – If enabled, on the worker app, performance gauge will be displayed. If disabled, the gauge will be hidden.

Reports

Detailed reports by workers.
Reports will be listing all the workers and their workhours in every project/task.
All the reports can be filtered by range.
